Letters

Every letter read, coded and actioned. Most never need a GP.

A practice of 10,000 patients can receive more than 500 letters a week.5 Arrivo reads each one as it arrives, matches it to the patient, suggests the codes and sends each action to the right person, so only the letters that need a clinician reach one.

Matching and routing

Matched to the patient and sent to the right team

Arrivo reads hospital letters, discharge summaries, A&E and out-of-hours reports, screening results and admin letters as they arrive. It matches each to the patient by NHS number, name and date of birth, and routes it by your rules: medicine changes to the pharmacy team, admin to reception, clinical decisions to a GP.

  • Routing rules by letter type, sender and content
  • Letters it can't match to a patient held for a person
  • Duplicates spotted and shown side by side

Coding

Codes suggested, a person approves

Arrivo highlights the diagnoses, procedures and medicine changes in each letter and suggests SNOMED CT codes, showing the sentence each code came from. A trained member of your team approves every code before it reaches the record, and codes that count towards QOF are flagged.

  • The source sentence beside every suggested code
  • Nothing coded without a person's approval
  • QOF-relevant codes flagged

Actions

Every action becomes a task with a date

Follow-up tests, referrals, medicine changes and requests to review the patient become tasks for the right person, with the date the hospital asked for. Nothing depends on someone remembering what a letter said.

  • Tasks for the right role, with due dates
  • Medicine changes from discharge summaries prioritised
  • Overdue tasks shown in the Hub

Workflow

Fewer letters reach a GP

Most letters don't need a clinical decision. Arrivo's routing and coding let your workflow team file them completely, so GPs see only the letters that need them, and Insights shows how many that is each week.

  • Letters needing no clinical input handled by your team
  • GPs see only the letters that need them
  • Weekly figures for letters filed and time to file
Works with the document workflow you already use.

Letters keep arriving through your clinical system's document workflow. Arrivo works on them there and files each one with the original document attached.
