Registrations

Registrations without the retyping

Most registrations don't qualify for NHS auto-registration. Arrivo takes each one from the moment Register with a GP surgery sends it to your practice, checks it, and registers the patient in your clinical system.

From application to registered in five steps

Patients keep using the national service. Arrivo picks up the applications it sends to your practice.

  1. Patient

    Applies online or on paper

Through the NHS website or the NHS App, or on a paper form your team keys into Register with a GP surgery. Patients don't need ID, proof of address or an NHS number.

  2. NHS England

    Checks and routes the application

The national service matches the patient to their NHS record on PDS and checks your catchment. Adults moving between English practices who apply with NHS login can be auto-registered.2

  3. Arrivo

    Receives every other application

Everything else arrives at Arrivo as structured data over NHS MESH, under a data processing agreement with your practice. Your practice still gets its PDF copy by email.

  4. Arrivo

    Checks and registers the patient

Arrivo runs its checks, then registers the patient in SystmOne or EMIS Web. Registering notifies Primary Care Registration Management and starts the GP2GP request to the previous practice.

  5. Arrivo

    Makes the record ready

When the GP2GP record arrives, Arrivo queues degrades, medicines and allergies, summarising and recalls for the right person, ordered by clinical risk.

Who handles what

NHS auto-registration takes adult transfers with NHS login. Arrivo takes the rest, and the record work for everyone.

Intake

Structured intake from Register with a GP surgery

When a patient applies to your practice, NHS England sends Arrivo a structured copy of the application over NHS MESH, the secure messaging service the NHS uses to move data between organisations. Arrivo reads every field directly, so nobody copies details from a PDF and nothing waits in a shared inbox.

  • Demographics, contact details and previous practice
  • The PDS match result from the national service
  • Health and lifestyle answers, ready to code
  • Your practice still receives its PDF copy by email

Checks

Checks before anything is written

Arrivo checks every application before it touches your clinical system. Anything that needs a person goes to the Hub with the reason in plain English. Everything else carries on automatically.

  • PDS match. Confirms the NHS number and details agree. The national service matches about 9 in 10 applicants,1 and the rest come to your team.
  • Duplicates. Catches patients already on your list, including under a different spelling or an old address.
  • Catchment. Checks the address against your boundary and applies your out-of-area policy.
  • Flags. Holds anyone with a Special Allocation Scheme flag, a sensitive record, or an immediate or 8-day removal.
  • Children. Holds a child applying without a parent or guardian for review.

Registration

Registered in SystmOne or EMIS Web

Arrivo registers the patient in your clinical system through a dedicated automation user, completing the same screens your team would. Registering the patient notifies Primary Care Registration Management, which deducts them from their previous practice, and starts the GP2GP request for their record.

  • Permanent, child and temporary resident registrations
  • A usual GP assigned by your rules
  • Contact details and communication preferences recorded
  • Every write recorded in the audit trail

Coding

Health questionnaire, coded

Answers from the national form, and from any extra questions your practice asks, are recorded as SNOMED CT codes. They show up in searches, disease registers and recalls instead of sitting in free text.

  • Smoking, height, weight and other lifestyle answers coded on arrival
  • Your extra questions mapped to the codes you choose
  • Answers that can't be coded kept as notes for your team to review

Families

Families registered together

When a parent applies for their children at the same time, Arrivo processes the household as one. It registers each child with a named parent or guardian, links the family in your clinical system, and holds the whole household if one member needs a decision.

  • Children never registered without a linked adult
  • One decision for the household, not one per person
  • Childhood immunisation recalls prompted once each child's record arrives

Assisted registration

Help for patients who can't apply online

Reception can complete Register with a GP surgery with a patient at the desk or on the phone using Arrivo's assisted mode. It walks staff through each question in plain English and shows a translated version on screen for patients who prefer another language.

  • Marked as staff-completed in the audit trail
  • Reminds staff that patients don't need ID or proof of address
  • Then follows the same checks and registration as any other application

Patient messages

Patients kept informed

Patients get a text or email when their application arrives, when they're registered, and with what to do next, such as how to book an appointment and set up the NHS App. You choose the wording, and messages go out in the patient's preferred language.

  • Fewer calls to reception asking whether a registration has gone through
  • A link to complete any extra questions your practice asks
